Understanding Your COR: When to Contact the RDO

Encountering problems with your Certificate of Registration (COR) can be a stressful experience, especially when you're unsure of how to resolve them.  It's important to understand that while your POS provider is a valuable partner in many aspects of your business operations, there are certain COR-related issues they simply cannot address.  These are typically related to information that is automatically populated on your COR and originates directly from the Bureau of Internal Revenue (BIR) database.  Because your POS provider doesn't have access to modify this underlying data, your only recourse is to contact your issuing Revenue District Office (RDO) directly and report the problem as soon as possible.

Here's a breakdown of the specific COR items that your POS provider cannot change and require direct RDO intervention:

 Revenue District Office (RDO) that issued your COR is automatically populated and cannot be altered by your POS provider.  Any discrepancies or errors in this field must be addressed with the RDO.

TIN of Company. Your Tax Identification Number (TIN) is a unique identifier assigned by the BIR.  It's automatically populated on your COR and is beyond the scope of your POS provider's access.  Any issues with your TIN should be reported to the RDO.

 Registered Name. The official, registered name of your business is also automatically populated and cannot be changed by your POS provider.  Corrections or updates to your registered name must be handled through the RDO.

 Business Address. Your registered business address is another field that is automatically populated on your COR.  Your POS provider has no control over this information.  If your business address has changed or is incorrect on your COR, you need to contact the RDO to update it.

Line of Business. The line of business you declared during registration is automatically populated on your COR.  Your POS provider cannot modify this.  If you need to update or correct your line of business, you must coordinate directly with the RDO.

 Business Name. While you may use a trade name different from your registered name, the official business name on your COR is automatically populated from the BIR's records. Your POS provider cannot change this.  Any discrepancies should be reported to the RDO.

Because these data points are directly linked to your BIR registration, only the RDO can make the necessary corrections or updates.  Attempting to resolve these issues through your POS provider will likely be unproductive, as they lack the necessary access. 

Therefore, it's crucial to contact your issuing RDO immediately when you encounter any problems with these automatically populated fields on your COR.  Prompt action will help prevent further complications and ensure your COR accurately reflects your business information.

What is eSales?

The Electronic Sales Reporting (eSales) system is a critical component of the Bureau of Internal Revenue's (BIR) efforts to modernize tax administration in the Philippines. It's an electronic system designed to simplify and streamline the process of enrolling and reporting gross monthly sales for taxpayers who use Customer Relationship Management (CRM) systems, Point of Sale (POS) machines, or any other similar devices.  Think of it as the BIR's digital platform for businesses to submit their sales data electronically.

eSales provides a convenient and efficient way for businesses to comply with their sales reporting obligations.  Instead of relying on manual, paper-based reporting, taxpayers can use eSales to transmit their sales data through various channels, including SMS, email, or the web. This not only saves time and resources for businesses but also improves the accuracy and efficiency of sales data collection for the BIR.

What exactly does eSales entail?

eSales is the process of reporting gross monthly sales for taxpayers who use Cash Register Machines (CRMs), Point of Sale (POS) systems, Other Sales Machines (OSMs), or any other similar devices.  It's important to understand that eSales isn't just about having a POS system; it's about reporting the sales data generated by that system to the BIR.  This reporting is done electronically through the eSales system via the various channels mentioned earlier (SMS, email, or web).

Why is eSales important?

  • Compliance with BIR Regulations: eSales is often a required part of doing business in the Philippines, especially for businesses using POS systems or similar technologies.  It's the prescribed method for submitting sales data to the BIR, and failure to comply can result in penalties.
  • Accurate Sales Reporting:  By automating the sales reporting process, eSales minimizes the risk of human error and ensures greater accuracy in the data submitted to the BIR.  This is beneficial for both taxpayers (accurate records) and the BIR (reliable data for tax administration).

How to apply for EACCREG/ESALES account?

All taxpayer(s) are required to have their own eaccreg/esales username account. In order to have your own account, you must fill up their registration form correctly and accordingly by using the BIR Form 2303 or known as Certificate of Registration (COR) as your reference.

Be sure that you take note of the following information especially your security question and answer because this is the only way you can retrieve your account just in case you forgot your password or else you account will be lock. If your username has been locked. The only way you can retrieve your account is by security question and answer. Failed to remember? You need to create new username and password.

One more thing, eaccreg/esales changes password every three (3) months. Better to take note all your passwords because eaccreg/esales "will not require you to repeat or used password". They must be unique every time they will ask you to change your password.

Just in case you have problem accessing the eaccreg/esales portal at the moment. Below are the actual application for account enrollment so you have an idea what are the possible question that you need to accomplish.

I suggest you try to use Mozilla Firefox, Google Chrome or Internet Explorer. I prefer to use Mozilla Firefox if you will ask me.

REMINDER:
User Name - Minimum of 6 character and Maximum is 15
Password - Should at least 8 characters long and maximum of 20 characters. Must include 1 UPPERCASE letter, 1 LOWER CASE letter and 1 special character (e.g %,&,*) and you are forced to change password every 3 months. Keep a record of you used password. No recycle of password.


Taxpayer must finish the registration until he/she was able to receive a notification via email used in during the EACCREG /ESALES registration. [ see picture below ]






REQUIREMENTS:

1. Print out of your enrollment sent from your email. ( 2 copies or more)
2. Filled up the EACCREG/ESALES letter and have it notarize ( 2 copies or more)
3. Photocopy the COR used from POS application  (for reference maybe)
